- Child information — child's name, grade level, date of birth (optional), school, and any relevant health or allergy notes you choose to share.
- Payment information — billing name and address. Payment card or bank account details are handled directly by Stripe and are never stored on our servers.
- Communications — messages you send us through our contact form, email, or phone.
- Photo / video consent — your opt-in (or opt-out) preference for images taken during BY Academy programs.
How We Use Your Information
We use the information we collect to:
- Process enrollment and payment for classes, camps, and programs.
- Communicate with you about schedules, billing, updates, and events.
- Maintain a safe learning environment (health / allergy information).
- Send occasional program announcements or newsletters (you may opt out at any time).
- Comply with our legal obligations.
Information Sharing
We do not sell, rent, or trade your personal information to any third party.
We share your information only as necessary to operate our programs:
- Stripe (payment processing) — subject to Stripe's Privacy Policy.
- Email providers — to send confirmations and program communications.
- As required by law or to protect the safety of our students, staff, or community.
Data Retention
We retain enrollment and payment records for as long as necessary to fulfill legal and operational obligations (typically 7 years for financial records). You may request deletion of your contact and child records at any time; see "Your Rights" below.
Photo and Video
We occasionally photograph or film students during classes and events for use in our marketing materials, social media, and website. You may opt in or out of this at enrollment. Your preference is respected and may be changed at any time by contacting us.
Children's Privacy
Our enrollment process is completed by a parent or guardian (18+). We do not knowingly collect personal information directly from children under 13 without verifiable parental consent.
Your Rights
You may contact us at any time to:
- Access the personal information we hold about your family.
- Correct inaccurate information.
- Request deletion of your information (subject to our legal record-keeping obligations).
- Opt out of marketing communications.
